Administrative Assistant - Real Estate Property Management

Looking for a self-motivated professional to provide high-level administrative support for our commercial real estate team by performing general offices duties in addition to providing support to real estate work. 
Essential Duties and Responsibilities:
  • Performs general office duties, such as preparing correspondence, maintaining tenant and vendor certificates of insurance, ordering supplies, maintaining records, managing database systems, and performing basic bookkeeping work.
  • Manages maintenance supplies, Personal Protective Equipment, clothing, and equipment licenses.
  • Conducts research, compiles data, and prepares reports for consideration and presentation by executives, committees, and boards of directors. 
  • Provides administrative support to prepare and update reports, documents, aerials, tenant lists, site floor plans, vacancy reports, lease renewal reports, property tax information, equipment inventory, etc.
  • Answers phone calls and direct calls to appropriate parties or take messages.
  • Greets visitors and determines whether they should be given access to specific individuals.
  • Opens, sorts, and distributes incoming correspondence and email.
  • Makes travel arrangements for executives.
  • Prepares agendas and make arrangements, such as catering, for meetings.
  • Provides clerical support to other departments.
  • Manages and maintain executives' schedules.
  • Performs other duties as assigned. 
Required Knowledge, Skills and Abilities:
  • 3-5 years of related administrative experience
  • Demonstrated computer proficiency (MS Office – Word, Excel and Outlook)
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
  • Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
  • Ability to use time productively, maximize efficiency and meet challenging work goals
  • Ability to maintain compliance with all company policies and procedures
  • Ability to possess and maintain exceptional work ethic as well as uphold company values and demand the highest standard of conduct from self and others
Preferred Knowledge, Skills and Abilities:
  • Experience in Commercial Real Estate
  • College degree or equivalent business-related experience
